Overview
Teachers and Researchers United (TRU) – United Electrical, Radio, and Machine Workers of America (UE) Local 197 is the union for PhD student workers at Johns Hopkins University (JHU). Under the Family Educational Rights and Privacy Act (FERPA), consent is required for JHU to share nondirectory student education record information with TRU-UE.
Procedures
PhD students covered by JHU’s collective bargaining agreement (CBA) with TRU-UE Local 197 who wish to authorize JHU to release specific non-directory information from their education records to representatives of TRU-UE for the purpose of representation must complete the FERPA Release Form (TRU-UE) in SIS Student Self-Service.
Information that students are able to elect to share via the FERPA Release Form (TRU-UE) includes the following:
- Personal email
- Preferred pronouns
- Permanent address
- Date of birth
- Mobile phone number
- Position classification
- Race/ethnicity
- Medical plan enrollment
- Dates of employment
- Rate of pay
- Pay period
- Pay basis
- Visa or work permit type and status (if applicable)
- Graduate appointment letter(s)
Please Note: Students who wish to share additional categories of records (not listed above) with TRU-UE must complete a Student Information Release Authorization form to consent to additional disclosures.
Elections that students make in the FERPA Release Form (TRU-UE) are effective until students change them, and changes made to elections will not affect data that JHU has previously provided to TRU-UE.
Attention PhD Students!
If you are covered under the university’s CBA with TRU-UE Local 197 but are not able to view the FERPA Release Form (TRU-UE), please consult with your academic department. Availability of the FERPA Release Form (TRU-UE) is reliant upon completion of the hiring process or, in limited situations, health benefit payment processing.
Special note for students who have restricted their directory information:
If students have restricted their directory information according to the procedures outlined on the Directory Information webpage, no directory or supplemental information will be provided to TRU-UE. As such, the FERPA Release Form (TRU-UE) is not available to students who have restricted their directory information using the process detailed on the Directory Information webpage.
Students with directory information restrictions who wish to consent to the disclosure of JHU education records to TRU-UE must complete a Student Information Release Authorization form.
